As the holiday season approaches, work-related celebrations can be a great way to build morale and thank your team.
However, employers must be mindful of their responsibilities to ensure a safe, inclusive and enjoyable event.
Here’s a checklist to help you navigate potential risks while keeping the spirit of the season alive:
✅ Employer Liability: Courts have held employers have held partially or fully responsible for damages resulting from work-related social events. This includes incidents related to alcohol consumption, harassment, or unsafe behaviour. Taking proactive steps is essential.
✅ Health and Safety: Choose a venue that meets safety standards and ensures accessibility for employees with disabilities. Clearly communicate health and safety protocols, especially for preventing intoxication and managing food allergies or dietary restrictions.
✅ Manage Alcohol Consumption:
• Limit alcohol availability, such as by using drink tickets and end alcohol sales at an appropriate time to discourage over-consumption.
• Serve plenty of non-alcoholic options — consider higher quality options than juice, pop or water.
• Arrange transportation for employees, such as taxi chits or rideshare vouchers, to prevent impaired driving.
• Appoint trained staff or external professionals to manage any situations involving intoxicated employees.
✅ Inclusivity Matters:
• Be mindful of religious and disability-related needs. Opt for non-denominational themes and avoid scheduling events on dates that may conflict with employees’ observances.
• Provide options that accommodate all dietary and non-alcoholic preferences. Provide quality non-alcoholic cocktail options (beyond water, pop and juice) so that non-drinkers or those who wish to carefully limit their consumption can do so in a less conspicuous and more enjoyable manner
Policy Reminders: Before the event, remind employees of workplace policies, including harassment and anti-discrimination guidelines, to reinforce that appropriate behaviour is always expected in the workplace, including at parties.
A thoughtful approach to holiday celebrations can protect your organization from potential liability while fostering a positive and inclusive workplace culture.
